Group Information System Project

The model for our project is to create an easy access directory that has a definitive list of Surfers Paradise holiday accommodation. This thus eliminates the task of looking for accommodation at different sources throughout several different directories. Our listings will offer accommodation for all travellers, from budget holidaymakers to five star luxury hotels. The efficiencies gained by the use of a single directory are of many including time saving (not using up internet hours), cost effective, and not having to gather information from different sources such as a travel agent.

Collecting We collected information about hotels and motels in Surfers Paradise by the use of the Internet. Information collected included the name of the hotel/motel, its address, its phone number, fax and if it was a hotel or motel. We also gathered it's extra features such as pool or Austar.

Organising we used the information we collected and organised it alphabetically so it would be easy for a user to find the hotel if they know the name of it. They can also be sorted into hotel or motel categories. We also enabled you to search for hotels or motels with a certain star rating. There is a search to determine if the hotel/motel is high-rise, if it is beachfront or inland, what facilities the hotel/motel has and what room service is available.

Analysing we analysed the information so and also passed it onto a local travel agent for a professional opinion.

Processing we processed the data into an easy to use user-friendly interface, with drop down menus and search fields.

Transmitting/receiving Via the use of the Internet the process of transmitting the information is already done for us. As people type "Surfers Paradise" or "Motel/Hotel" into a search engine our website, and therefore our database, would appear on screen. The host computer would then receive our database and allow the consumer to use the program.

Displaying Data/information would be displayed on the host computer in soft copy as the database we designed. This allows the user to print out their results and therefore transfer the information into a hard copy version.

Project Management Tools

The Project Management tool we used was a Gantt Chart, which help us, plan allocated time for each phase of the group information System Project. Apart from setting up the allocated time I recorded how long it took us to complete each phase. Unfortunately I could not represent in a pie graph due to time overlapping in doing each phase for example you can make some design solutions from some decisions made in phase . I also made a flow chart to show how we went about making the I.S. and the report on it.

Understanding the Problem…

Firstly in trying to understand the problem we were about to face we searched the net for different motels along Surfers Paradise. In doing this we found that there were so many different motels with so many different features that the consumer might have trouble, and have to spend long time periods to choose and book accommodation in Surfers Paradise.

After assessing that this could be a problem for those consumers with high stress jobs and little time we produced a draft copy of a database search engine, which would allow a potential user to easily access all information about the accommodation in Surfers paradise in one easy location. This database gives the name, phone number, star rating and other features of the particular motel including price and extra feature like a pool and/ or spa. A potential consumer can simply type their requirements such as price range, staring rating and extra features preferred and a list complete with name, phone number and location is listed on the screen.

With our draft copy we sent it to a local travel agent and asked for feedback. After receiving the feedback we made a decision to add certain features such as the link to White Pages so that the consumer can find the exact location of a motel, along with a visual image to look at. We also asked the travel agent to test certain functions of our newly created database and found certain problems including not fully completed data and other motels, which didn't show up. We then did more research to complete the rest of our data.

With our newly acquired knowledge about motels in Surfers we designed a questionnaire to find out what the consumer wanted from our database and allowed for it in our design. We found out that those who had previously booked accommodation in Surfers had gone roundabout way either via the net or through a travel agent. Both ways had taken their toll with extra funds and extra time been wasted in booking accommodation. We found that if our database was up and running on the net that people would use it and consider making a regular use of it if we could add all motels.

We then allowed 5 members of the public to use and test our database. From their feedback we evaluated that with the proper maintaining of our system it could become a useful tool for consumers. If we were to keep the website/ database running online we would also need to include a larger variety of motels and spread the area to further along the Sunshine Coast.
